Safari Requests Terms & Conditions!

Safari Requests (hereinafter referred to as “the Company”) accepts bookings subject to the terms and conditions outlined below. By confirming a booking with the Company, the client agrees to the following policies.

THE BOOKING

Bookings and subsequent contracts shall be deemed to have been concluded in Arusha, Tanzania, and shall be interpreted in accordance with the laws of the United Republic of Tanzania.

The place of jurisdiction is Arusha, Tanzania.

The Company reserves the right to decline any booking request without providing a reason.

DEPOSIT & PAYMENT

To secure a reservation, a minimum deposit of 70% of the total safari or trek cost is required. This deposit confirms the booking and will be deducted from the total invoice amount.

The remaining balance must be paid at least 45 days prior to departure for private safaris, luxury safaris, and Kilimanjaro climbs.

If full payment is not received within the required timeframe, the Company reserves the right to treat the booking as cancelled, in which case the deposit will be forfeited.

Clients booking within 45 days of departure are required to pay the full amount immediately in order to secure the reservation.

All bank transfer charges, intermediary bank fees, and transaction costs are the responsibility of the client. The amount indicated on the Company invoice must reflect the amount received in the Company’s account for the booking to be considered fully paid.

BOOKING AMENDMENTS

If a client requests amendments to an existing booking (including but not limited to travel dates, accommodations, number of travelers, flight arrangements, or itinerary changes), a handling fee of USD 50 per booking will apply.

This fee will be charged in addition to any charges imposed by service providers, such as hotels, airlines, or national parks.

CANCELLATIONS

All cancellations must be submitted in writing to the office that confirmed the booking. Cancellations will only be effective from the date the written notice is received by the Company.

In the event of a cancellation, the Company will retain the deposit already paid.

Cancellation charges apply as follows for private safaris, luxury safaris, and Kilimanjaro climbs:

  • Up to 90 days prior to departure: 30% of the tour price

  • 89 to 45 days prior to departure: 50% of the tour price

  • Less than 45 days prior to departure: 90% of the tour price

The Company reserves the right to cancel any tour at its sole discretion when circumstances make it unavoidable. In such cases, the Company will refund all payments received from the client. This refund shall constitute the Company’s full liability, and no additional claims for damages shall be made against the Company.

PASSPORTS, VISAS & TRAVEL DOCUMENTS

It is the sole responsibility of the client to ensure that all travel documentation is valid and up to date. This includes:

  • Passports

  • Visas

  • Vaccination certificates

  • Health documentation

  • Any other travel permits required for entry into the countries visited

The Company cannot be held liable for any consequences, damages, or costs arising from incomplete or incorrect travel documentation.

BAGGAGE

All baggage and personal belongings remain the responsibility of the client at all times. The Company accepts no liability for loss or damage to personal effects.

Unless otherwise stated, luggage limits are:

  • One soft bag or backpack not exceeding 15 kg

  • One small daypack

Hard-shell suitcases are not recommended for safari vehicles or trekking tours. Additional luggage restrictions may apply for trekking expeditions and bush flights.

RISK & LIABILITY

Clients acknowledge that safaris and mountain trekking are adventure activities that involve an element of personal risk.

Neither the Company nor any of its representatives shall be held liable for any:

  • Injury

  • Illness

  • Loss of life

  • Property damage

  • Delays or inconveniences

By participating in a tour organized by the Company, the client agrees to accept all associated risks and indemnifies the Company against any claims arising from participation in these activities.

AUTHORITY ON TOUR

During the tour, the guide or driver appointed by the Company has full authority regarding the safety and management of the trip.

All decisions made by the guide or driver are final and binding, particularly in matters concerning safety, itinerary adjustments, and local regulations.

Clients must also comply with the laws, customs, and regulations of all countries visited.

MARKETING & MEDIA

The Company reserves the right to use photographs and videos taken during tours for marketing, promotional materials, social media, and advertising purposes.

By participating in a tour, the client grants the Company permission to use such media unless otherwise requested in writing prior to the tour.

FORCE MAJEURE

The Company shall not be held responsible for delays, alterations, or cancellations caused by circumstances beyond its control, including but not limited to:

  • Weather conditions

  • Political unrest

  • War or civil disturbances

  • Mechanical failures

  • Government regulations

  • Natural disasters

  • Airline delays or cancellations

In such situations, the Company will make reasonable efforts to adjust the itinerary but cannot be held liable for any resulting consequences.

PRICE CHANGES

All tour prices are based on current national park fees, taxes, and government regulations within Tanzania.

Should authorities increase park fees, taxes, or regulatory costs after a booking has been confirmed, the Company reserves the right to adjust the tour price accordingly, and such increases must be paid by the client.
